Reports to:  Dean, School of Law
Term:  1.0 FTE Position, annual renewal, based on performance, funding and need
Rank:  Officer of Administration
Salary Range:  $125,000-145,000 (based on 1.0 FTE)

General Responsibilities

The Assistant or Associate Dean for Finance and Operations is responsible for the management of the following functions at the law school: finance planning and analysis and accounting (of both university and foundation funds), human resources, oversight of faculty & academic program staff support and building operations.  The Assistant or Associate Dean is expected to take a leadership role (under the guidance of the Dean) of all law school financial planning related issues, including developing and tracking law school tuition revenue projections, program and department budgets, and participating in discussions with Central Administration regarding the law school budget.  The position is also responsible for helping with major strategy projects and national law school surveys such as the annual American Bar Association report.  The Associate Dean reports directly to the Dean and is responsible for direct supervision for the Lead Financial Analyst, Personnel Coordinator, Faculty Support Supervisor, and Building Manager.

Major Duties

35% Finance and Accounting: Leader of law school financial functions, including:

  • Develop long-range financial plans, including but not limited to, revenue projections for tuition, gifts, grants, and other revenue streams.  Serve as a liaison with the Provost's Office, Budget and Resource Planning, and Institutional Research to project enrollments and tuition revenues as part of the Oregon Budget Model; analyze and propose tuition structures for Law programs
  • Manage annual expense operating budget by department, program and account, suggesting allocation of resources
  • Model and recommend total scholarship budget and scholarship strategy in conjunction with the Admissions office
  • Oversee the creation of monthly financial reports and perform variance analysis and monitor actuals compared with projections
  • Provide oversight for and ensure law school compliance with accounting best practices, OUS guidelines, and UO policy

25% Strategy: Accountable for strategic operations and project management, including:

  • Manage annual law school surveys, including ABA report, U.S. News and World Report, S.A.L.T. and Princeton Review
  • Provide project management skills and develop financial models to support strategic projects
  • Provide advice to Dean on general law school issues
  • Serve as a consultant to program or center directors in developing strategic plans
  • Support the development office with proposals, including modeling of financial impacts of different opportunities

25% Human Resources: Leadership role in all aspects of HR associated with the law school:

  • Oversee development of organization charts, restructuring and managing organizational issues as necessary (e.g. coverage issues due to FMLA leaves)
  • Oversee human resource aspects of faculty, administrator and staff search processes
  • Oversee preparation and processing of annual hiring and contracting documents for law school faculty, administrators and staff
  • Oversee the performance management processes, including administrator and classified staff annual performance reviews.  Address staff performance issues (e.g., necessary disciplinary action, proposed merit increases, proposed promotions)
  • Manage exit plan and termination as required
  • Oversee all faculty, administrator and staff personnel files, both hard copy and online 
  • Develop and manage staff morale plan, including events and internal communication (e.g. staff meetings, staff retreats, and HR updates to staff)
  • Serve as a liaison with the Provost’s office, unclassified personnel services, the office of affirmative action and equal opportunity, and central human resources

5% Building Operations: Oversee management of building operations and maintenance; supervise Building Manager

10% Faculty & Academic Program Support: Oversee management of faculty and program support staff; supervise Faculty Support Manager

Requirements:

  • Bachelor’s degree (JD, or an advanced degree preferred in a related field (e.g. MBA, CPA) from an accredited university or college)
  • Five years' progressively responsible experience, including demonstrated skill and experience in leadership and management of the financial, human resources, technological, and operational affairs of a complex organization
  • Demonstrated skill and experience in leadership and management of the financial, human resources, and operational affairs of a complex institution
  • Understanding and support of the teaching, research and service missions of higher education and the law school
  • Strong interpersonal skills sufficient to inspire and work effectively with diverse groups of students, faculty, alumni, and members of the bar.  This includes professionalism and collegiality in a team environment, excellent judgment, discretion, good humor, and the ability to make decisions in a timely manner
  • Strong oral and written communication skills which include the ability to write and speak persuasively
  • Excellent problem-solving skills with proven ability to strategize, prioritize, and multi-task to meet goals and deadlines
  • Strong analytical skills, including financial modeling or creating quantitative decision-making frameworks or tools
