The UO Academic Extension (AE) invites applications to fill an Officer of Administration position of Facilities and Events Manager.  This position is for twelve months, fixed term, 1.0 FTE, renewable annually based on performance and funding.  Salary is commensurate with experience, based on a full time (12 month) salary of $45,000 - $55,000.  Excellent benefits; see http://hr.uoregon.edu/benefits/ for additional information. 

General Description of the Position

Responsible for managing all aspects of physical resources for outfitting administrative offices and meetings rooms within Academic Extension, including primary location in Eugene and branch offices around the state.  Work with both external and internal partners, clients, and agencies for both new and ongoing programs.  Communicate with wide variety of constituencies that vary by program or project, including AE staff, program participants, degree-seeking and non-traditional students, vendors and contractors, campus operations staff, senior leadership, etc.

To implement these functions, the Facilities and Events Manager will work with other staff/areas within Academic Extension, including Registration and Operations; Graphics, Communications, and Marketing; Fiscal Services; Technology; and multiple program managers for credit and non-credit activities.  The Facilities and Events Manager will also work closely with other UO staff/offices, including Campus Operations, Campus Planning and Real Estate, etc.  The Facilities and Events Manager reports to the Associate Director of Academic Extension, but works closely with the entire senior management team.  The Facilities and Events Manager will develop and expand an operational team, including hiring and supervising subordinate support staff.

Essential Functions

40%    Plan, schedule, and coordinate meeting facilities

  • Managing events from start to finish including scheduling, coordination of facility use agreement, audio-visual equipment and appropriate staffing, catering, execution of set up and tear down for room configuration, and transition of resources to subsequent events.
  • Select and coordinate purchase of furniture and equipment to outfit meeting spaces.
  • Coordinate maintenance of furniture, equipment, and physical structure in meeting spaces.

40%    Hire, train, and supervise support staff

  • Lead the selection, hiring, training, and supervision of students, classified staff and other officers of administration to work in support of facilities and events.
  • Incudes coordination with staff at all locations (e.g. UO White Stag in Portland, UO Bend Center) for implementation of facilities infrastructure and events.

 10% Coordinate and support physical resources of administrative operations:

  • Manage the selection, installation, and maintenance of furniture.
  • Coordination with technology and operations staff for installation and maintenance of equipment and supplies.
  • Management of stored goods including equipment, furniture, and program archives.
  • Liaison with campus operations and vendors for remodel or construction projects.
  • Coordinate with transportation resources, such as public transportation, state motor pool, etc.

10%  Budget and resource planning and implementation

  • Monitoring cost-recovery budgets to execute projects.
  • Assessing venues for appropriate content and delivery mode of program needs.
  • Track and report annual UO space use inventory.

Working Conditions

  • This position will be based in an office environment with routine activities outside the office (storage facilities, purchasing materials, branch locations).
  • The work schedule is flexible based on events and projects, which may include some evenings and weekends.  Requires ability to travel within Eugene and to branch locations (currently Portland and Bend).
  • Requires abilityto routinely lift and carry up to 50 pounds.
  • AE office utilizes MAC operating systems.
  • Background check required.



  • Master's degree from an accredited institution.  (May substitute Bachelor’s degree and 4 years' relevant experience.)
  • Previous experience with event coordination or management.
  • Possesses, or has the capacity to acquire, a UO Driver Card and Van Driver Certification.
  • Previous experience with, or capacity to obtain skills for, utilizing a variety of audio-visual equipment.
  • Excellent interpersonal communication skills for engaging with diversity of constituencies.
  • Excellent oral and written communication skills.
  • Ability to manage multiple tasks on varying timelines.
  • Experience with MS suite software.


  • Previous experience working at a public institution.
  • Previous experience with development or delivery of educational programs.
  • Previous experience with full range of project management for tracking, implementation, and reporting.
  • Previous experience with executing projects within a budget guideline.
  • Previous experience with construction, remodel, or related activities.
