The University of Oregon invites applications for the position of executive assistant (EA) to provide confidential executive support to the university’s lawyers and confidential administrative, reception, and office support the Office of the General Counsel (OGC).
The EA provides confidential support to the attorneys in the OGC, including: professionally receiving and appropriately directing telephone calls, visitors, mail, and other inquiries; maintaining awareness of communications with the Office of the General Counsel and office staff schedules in order to enhance the office's service to the university community and external constituencies; and learning to identify VIPs to ensure maximum responsiveness. The EA assists with maintaining and monitoring the attorneys’ schedules and calendars, setting priorities for time, monitoring deadlines, and obtaining all material needed for appointments and events. Comfortably, confidentially, and with professionalism and self-assurance, the EA must interact regularly with important public and private officials, the senior leadership of the university, and the personnel providing administrative support to these individuals. The EA handles and is involved in many sensitive and confidential issues and is responsible for maintaining the confidentiality of sensitive information and material, including information and material covered by the attorney-client privilege and work-product doctrines and personnel and student information. The EA must maintain a professional appearance and demeanor at all times.
The EA performs a variety of administrative, office support, and clerical duties including: assisting with the maintenance of electronic and paper files; tracking and monitoring a wide variety of correspondence, contracts, and other instruments; maintaining an electronic "tickler" system; and following up on expected responses. The EA performs photocopying and other routine tasks and ensures the availability of adequate office supplies. The EA drafts written correspondence as requested and must be able to professionally type, proof-read, and format correspondence, reports, memoranda, presentation materials and other information.
Annual salary is $40,000 - $50,000 and will be based on qualifications and experience. A full range of excellent benefits is provided.
Minimum requirements include:
Three years' experience providing high-level administrative support to an executive or practicing attorney.
Excellent oral/written communications skills.
Ability to work with a wide variety of people from different backgrounds and cultures.
Ability to deal successfully with multiple tasks, shifting priorities, and difficult or threatening individuals.
At least two years' experience with business computer applications, such as MS Outlook, Word, and Excel or similar programs.
Bachelor’s degree from an accredited educational institution.
