TO QUALIFY YOU MUST HAVE:

... two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR
... associate's degree in Office Occupations or Office Technology; OR
... graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

Required Qualifications:

* Proficiency with word processing, spreadsheet, database, PowerPoint, and desktop publishing computer applications.
* Ability to work with tact, discretion, sensitivity, cultural competence, patience, courtesy, and flexibility.
* Strong analytical skills.
* Professional writing and editing skills; excellent public relations and oral communication skills.
* Accounting and bookkeeping skills.

DUTIES & RESPONSIBILITIES:

The Vice President of Equity and Inclusion serves as the chief diversity officer for the University of Oregon; provides central leadership for campus-wide diversity efforts; leads development and implementation of University Diversity Plans; oversees related centers and programs. This position provides administrative support for the Office of Equity and Inclusion (OEI). Duties include:
... providing general secretarial support, including answering the telephone and greeting visitors, responding to and directing inquiries to others, explaining UO and OUS rules, processes and procedures to students, staff, faculty and the public.
... organizing and maintaining electronic and paper filing systems; coordinating copying and printing projects; maintaining lists and databases for campus information and distribution; serving as telecommunications coordinator; word processing correspondence and other documents; processing mail.
... providing accounting support and working with the financial information system, including preparing purchase orders and reimbursement requests; verifying receipt of goods and services and approving invoices for payment; processing accounts payable and receivable; processing travel reimbursement and other reimbursement requests; preparing journal vouchers and paying invoices; reconciling monthly charges; preparing contracts; executing P-card transactions in accordance with UO policy and OAR regulations.
... monitoring the budget, invoices, and expense reports to ensure availability of funds; reconciling and preparing a variety of fiscal reports; performing payroll time entry; maintaining leave balances; preparing payroll and personnel documents.

1. Describe your experience representing a professional office with both internal and external customers, including greeting visitors, answering the telephone, answering questions, providing information, and explaining rules, processes and procedures.

2. Describe your experience providing accounting support, such as processing accounts payable and receivable, purchase orders, journal vouchers, and payroll. Indicate experience monitoring budgets and preparing a variety of fiscal reports.

3. The Office of Equity and Inclusion provides central leadership for campus-wide diversity efforts and this position regularly requires high levels of cultural awareness and sensitivity. Describe how your experience and knowledge will contribute to these efforts.

4. Describe work experience you have had that required the ability to handle several tasks at once with frequent interruptions, shifting priorities as needed, and working within the pressure of deadlines.

5. This position requires excellent writing and editing skills and the ability to prepare a wide variety of documents (correspondence, reports, brochures, flyers, and newsletters) using word processing, database, PowerPoint, and desktop publishing software. Describe experience that demonstrates your ability to perform these functions. Please give specific examples ot the types of documents you prepared and created.
