o University of Oregon Human Resources invites applications for a full-time Human Resources/Organizational Development and Training (ODT) Program Assistant. This is an Officer of Administration position that is excluded from collective bargaining. TO QUALIFY YOU MUST HAVE:
Three years' professional office experience, including at least two years at full performance level and experience generating documents; strong verbal and written communications skills; demonstrated skill in effectively working with people from diverse backgrounds; demonstrated ability to prioritize tasks, work independently, manage projects, and initiatives, and solve problems; proficiency with Excel, PowerPoint and Outlook (or similar scheduling/calendar program), and Microsoft Office suite. Position may be subject to criminal background check.
Preferred: Professional work experience in human resources or higher education; event management in a large, complex organization; and experience or proficiency in web site creation and/or maintenance.
DUTIES & RESPONSIBILITIES:
This position provides administrative and programmatic support for the Director and Associate Director of Organizational Development and Training (ODT) and provide confidential collective bargaining-related support to human resources administrators. Duties include:
... providing all aspects of administrative support for the ODT Director and Associate Director, including establishing and maintaining procedures and controls necessary to carry out training related activities; coordinating projects, events, and systems to support and accomplish identified goals and objectives; monitoring ODT activities for compliance with applicable rules, policies, and procedures.
... providing logistical support for ODT learning events, including coordinating the tracking function, managing registration, and making appropriate contact with presenters and participants; coordinating and supporting the preparation, finalization, assembly, and filing of training and orientation materials, including assigning work to students and monitoring quality of assigned work; arranging venues and catering; moving and/or transporting audio/visual equipment weighing up to 30 pounds interoffice or across campus for training, orientation, and other needs; periodically reconfiguring training room furniture according to instructors' needs.
... researching and collecting data, compiling information, and assisting with or preparing reports; interpreting ODT guidelines and responding to inquiries; coordinating marketing of professional development opportunities; collaborating with HR staff to automate ODT services by researching and further developing web pages and web-based processes; maintain web sites.
... performing a wide range of clerical and administrative tasks, including preparing reports and correspondence, maintaining calendars, scheduling meetings, preparing meeting materials and performing backup front office reception.

1. Describe your experience providing confidential clerical and/or program support for administrators or managers. Briefly describe the nature and complexity of the work for which the administrators or managers in question were responsible. Indicate experience anticipating needs; gathering information in preparation for meetings; doing research and compiling data; preparing reports and correspondence; maintaining calendars; scheduling meetings, including preparing meeting materials, arranging rooms and catering; and maintaining files and records.
2. The person in this position will be working as part of a team that supports a group of administrators in Human Resources. Describe experience that demonstrates your ability to collaborate with co-workers and work as part of a team in completing projects and assignments, particularly in an environment with multiple and changing priorities. Please give specific example(s) of your participation as a member of a team and identify characteristics and techniques you see as critical to effective teamwork.
3. Describe your ability to work in an office where multi-tasking is an important element of the job. Provide examples of processes you have put into place that have assured accurate and timely completion of multiple tasks and proactive coordination of multiple deadlines. Describe experience you have in problem solving and the approach you use to make fully informed decisions.
4. The position represents Human Resources administrators and managers in communications with other university administrators, faculty, staff, and students, as well as with external audiences in the community and state. Describe experience that demonstrates your ability to represent the work of an administrative office professionally and respectfully in both verbal and written communication with others. Give example(s) that demonstrate your ability to work inclusively and respectfully with groups of diverse backgrounds and cultures, and identify skills and strategies you see as critical to doing this effectively.
5. Describe your skills using desktop computer applications, including your knowledge and experience working with software for word processing, presentations, and spreadsheets, publishing software; database software; webpage development software; and, software for managing and working with e-mail.
