o Campus Operations at the University of Oregon invites applications for a full-time Office Specialist 1 in Zone Maintenance.
o This is a classified position represented by SEIU local 503, Oregon Public Employees Union.
o University of Oregon positions that are at least half-time are eligible for excellent benefits, including health and dental, employer-paid retirement, and tuition benefits for employee or an eligible dependent, sick and vacation leave.
o Due to budgetary shortfalls, the person appointed to this position will be required to take some unpaid furlough days between date of hire and June 30, 2013.

TO QUALIFY YOU MUST HAVE:
... completion of courses or training in office technology; OR
... one year of general clerical experience which included typing, word processing, or other generation of documents; OR
... equivalent combination of training and experience.
In addition this position requires experience with word processing, spreadsheet, and database computer applications and ability to learn new software quickly; excellent attention to detail; ability to perform multiple tasks with accuracy and efficiency; ability to work in a flexible and cooperative manner; ability to prioritize work; ability to communicate clearly, positively, and professionally with individuals from diverse backgrounds and cultures.

DUTIES & RESPONSIBILITIES:
This position provides clerical support to Zone Maintenance teams. Duties include:
... assisting supervisor in planning and scheduling planned and unplanned repairs of facilities; ensuring work requests are assigned, tracked and completed; reviewing work tickets in the computerized maintenance management system (CMMS), following up with staff and customers, and closing work tickets, noting any additional comments.
... maintaining files and records such as types of equipment, test procedures, safety procedures, building plans and records, and building mechanical systems; working with both UO and EWEB database systems to record backflow device testing records.
... answering the telephone and directing callers; maintaining records of caller information; scheduling appointments, tracking meetings, informing supervisor of changes, ensuring supervisor has required documents, projects, timetables and information before each meeting.
... providing general clerical support, including issuing keys; assisting others with the use of office equipment; collecting, editing, recording, and delivering time cards for workers; maintaining spreadsheets of time records; obtaining classroom availability information; creating graphic signs and postings; organizing and maintaining departmental library information.
... receiving and distributing departmental mail; maintaining shop calendar; issuing reminders to workers for training, vehicle appointments, and other scheduled events; maintaining and restocking inventory of office supplies and safety cabinets.
Work is conducted in office spaces within a maintenance and repair shop environment. The job may occasionally require working in other Campus Operations offices. Work may include traveling between buildings in Pacific Northwest typical weather conditions.
