o The University of Oregon English Department invites applications for a part-time (.75 FTE) part-time Office Specialist 1.
o This is a classified position represented by SEIU local 503, Oregon Public Employees Union.
o University of Oregon positions that are at least half-time are eligible for excellent benefits, including health and dental, employer-paid retirement, and tuition benefits for employee or an eligible dependent, sick and vacation leave.
o Due to budgetary shortfalls, the person appointed to this position will be required to take some unpaid furlough days between date of hire and June 30, 2013.

TO QUALIFY YOU MUST HAVE:
... one year of general office experience which includes a combination of the following: document processing, word processing, customer service, bookkeeping; or an equivalent combination of training and experience.
In addition, this position requires experience with word-processing, spreadsheet, and database software programs; excellent oral and written communication skills and ability to communicate effectively with individuals from diverse backgrounds and cultures; ability to provide customer service with tact and friendliness in an environment with frequent interruptions. DUTIES & RESPONSIBILITIES:
The University of Oregon English Department provides administrative support for the Folklore Program, a separate department. This position provides clerical support to the Folklore Program, and other general support for the English Department. Duties include:
... providing support for the Folklore academic program, including overseeing graduate admissions process, including initiating correspondence to students regarding the status of their application; receiving and tracking graduate application materials; maintaining student records for the Folklore program, including undergraduate and graduate major files and databases; overseeing student completion of requirements and initiating the paperwork in preparation for graduation; organizing and monitoring the Graduate Teaching Fellow (GTF) application process; initiating GTF contract letters and correspondence; assists Manager of Administrative Services in updating information for the Program's GTF General Duties and Responsibilities (GDRS) manual.
... providing administrative support for the Folklore Program Director, including preparing correspondence, reports, and memorandums; anticipating and alerting the Director of deadlines and tasks; maintaining Folklore Program calendar and keeping director informed of deadlines; sending announcements to faculty and students regarding upcoming events; scheduling meetings; taking and distributing minutes for faculty meetings; assisting in planning special events, including scheduling rooms, arranging catering, and overseeing publicity; assisting with distribution of the annual program newsletter; developing and maintaining alumni and donor lists; assisting in updating Folklore Program website and maintaining Program information in the University bulletin and other venues; compiling course lists from interdisciplinary departments both annually and by term.

1. This position communicates with current undergraduate students, prospective and current graduate students, and explains program information, policies and requirements. This includes responding to written correspondence, telephone inquiries, and in-person contact. Describe specialized training or experience that demonstrate your ability to communicate effectively with individuals from diverse backgrounds and cultures and explain rules and procedures.
2. This position works with a variety of University rules and procedures in processing records such as graduate applications and monitors graduate and undergraduate student progress toward degrees. Describe your experience processing documents and managing administrative details.
3. This position uses word processing, spreadsheets, and databases. Indicate the software with which you are proficient and the types of documents you prepared and maintained. Describe ways you have integrated these programs to provide information to a variety of audiences.
4. Describe your experience providing general clerical support, including reception, assisting in planning special events; maintaining hard copy and electronic records.
